Position: Accounting Clerk

Location: Home Office/McMinnville

Hours Per Week: Part Time – 20

Shift Options to select from:

Shift #1 Monday through Friday 9:00 a.m. to 1:00 p.m.
Shift #2 Monday through Friday 10:00 a.m. to 2:00 p.m.
Shift #3 Monday through Friday 11:00 a.m. to 3:00 p.m.

Position Summary: Under general supervision, performs moderately complex accounting support tasks/projects, bookkeeping and clerical functions to ensure accurate and timely financial transactions for the Association's Accounting Department. Accounting Clerk I is an entry level position within the Accounting Clerk job class. Incumbents at this level will support the department by filing documents; reconciling statements; running software programs and performing clerical functions. Will be cross trained on department tasks and perform back-up duties as assigned. Will perform training for branch staff as requested.

Essential Functions of the Position:

Bookkeeping/Accounting: Perform moderately complex accounting support duties in an accurate, timely manner according to departmental practices and policies.

• Performs accounting support functions that may relate to regulatory reporting and financial reporting.
• Reconcile bank controlled and general ledger accounts as assigned.
• Process daily PC files as assigned.
• Responsible for filing accounts payable records and backing up the accounts payable processing task as needed.
• Responsible for scanning and/or filing various documents and maintaining retention records.
• Sort daily mail to appropriate team member.
• Maintain updated written instructions for all primary tasks assigned.
• Balance various general ledger accounts, assist in branch cash counts as requested and stop payments for corporate checks issued.

• Adhere to company policies and procedures to ensure full compliance with all regulatory requirements.
• Adhere to First Federal's Bank Secrecy Act (BSA)/Anti-Money Laundering (AML) Compliance - Adhere to First Federal's BSA/AML policies, procedures, and processes. Immediately report suspicious activity to the BSA Officer; and be aware that noncompliance could mean your demotion, reassignment, or termination of employment. You could also face significant civil and criminal penalties.
• Complete all assigned compliance training in a timely manner, including BSA/AML training programs and be able to pass tests to demonstrate your knowledge of these regulations.
• Perform only tasks where you are licensed, to include NMLS, Notary or any other tasks which require a specific certification.

Interpersonal /Team Skills: Establishes and maintains effective rapport with all levels of employees, to ensure understanding/effectiveness of projects and work assignments.

• Keeps manager informed of work assignments, project status, etc.
• Solicits help and input as needed.
• Negotiates and resolves conflicts regarding work assignments; communicates problems, suggestions, etc., to manager when needed.
• Participates in work unit or company activities that enhance the efforts and goals of the department or Association.
• Contributes to team work by taking the initiative to assist co-workers, actively participating in staff meetings, suggesting productivity improvements, complying with attendance and other human resource policies.

Other Duties: Perform other accounting duties as assigned.

Minimum Job Requirements:
• High School Diploma and 6 or more months of bookkeeping experience or related bank experience required.
• Understanding of accepted accounting practice and theory.
• Ability to operate various office equipment including printers, Fax machine, 10-key adding machine, multi-line telephone, and copy machine.
• Strong data entry skills required. Ability to type by touch, including alpha and numeric keyboards and the ability to use a computer keyboard for data entry in a quick, accurate and efficient manner.
• Intermediate level experience operating a personal computer including use of Microsoft Office suite of products (Word, Excel) required. Ability to navigate effectively within company computer systems.
• Ability to create Excel workbooks, including formatting, formulas, and final product.
• Strong, professional telephone skills, written and verbal communication skills and etiquette required.
• Ability to read, interpret & retain policies, procedures related to assigned duties, banking and Association processes.
• Ability to work independently as well as in a team environment to accomplish work assignments.
• Ability to work on several projects simultaneously. Ability to work under pressure with constant interruptions and sometimes tight deadlines.
• Demonstrated effective time management and organizational skills.
• Effective interpersonal skills, tact, diplomacy, and patience.
• Ability to manage confidential information.
• Ability to use good judgment and make appropriate decisions.
• Ability to meet bonding requirements for employment purposes.

Scope of Responsibility: The incumbent performs assigned work. The incumbent has significant financial responsibilities which includes; performing bookkeeping duties, collecting and tabulating data and performing general ledger duties. The nature of the work is such that failure to perform satisfactorily has a costly and significant impact on part of the Association. This position may assist in training branch staff on accounting functions however, has no direct supervisory responsibilities.

Internal Contacts: This position has contacts with employees at all levels within the Association.

External Contacts: This position has contact with vendors or other financial institution employees, which involves exchanging information and explanation of processes and/or policies.

Physical Demands: Incumbents are required to sit for long periods of time, have the ability to bend/stoop, squat/crouch, reach up and down, push and pull and lift packages up to 25 pounds in the performance of retention duties. Incumbents will use visual skills to read data in computer systems and use hands to perform data entry and to process customer account statements into envelopes.
